Quick Start Guide

Your Computer Account:

As a full-time employee of Meharry Medical College, you are provided a computer account for access to the campus email, Internet, Intranet and computer network. Your computer account is a privilege and not a right and users must abide by the Meharry Computer Services Policy.

Failure to abide by this policy can result in your account being disabled and/or other action being taken against you.

In addition to this Quick Start Guide, please download a Computer Account Application Form. Information Technology requires completion of this form before a computer account will be created for you.

The entire form must be completed, dated and signed, including your Meharry Employee ID (a.k.a. M number; Banner ID). Any area of the form that is not completed fully and signed may delay your computer account being created. The form is to be returned to the OIT or Human Resources representative conducting your orientation program.

Before signing the Computer Account Form, please read the Certification of Computer Security statement located on the back of the form. You are also encouraged to read the entire Computing Services Policy.

Account Activation:

Once your account form has been completed, signed and delivered to Information Technology, you can contact the OIT Help Desk at extension HELP (4357) to receive assistance on activating your computer account. The OIT Help Desk is open Monday – Friday from 8:30 a.m. to 5:00 p.m. Activation of the account should be completed in one (1) business day, so please allow time to complete this process. New accounts not accessed within 30 working days following creation of the new account will be disabled and require the completion of another Computer Account Form.

Account Password:

During the activation of your computer account, you will be instructed on how to create a personal password used for accessing the Meharry computer network.

Before contacting the Help Desk to begin your account activation, please consider the password you will create. Below are some requirements and suggestions to review before calling.

  1. Requirement: The password must be a minimum of six but no longer than sixteen characters in length.

  2. Recommendation: The password can include letters and/or numbers. Passwords containing letter and number combinations are highly recommended.

  3. Recommendation: The password is case sensitive and can be all upper case, lower case or multi case. Multi-case passwords are highly recommended.

  4. Recommendation: Choose your password carefully. Do not create a password using your phone number, date of birth, address, etc. However, do choose a password that you can easily remember.

Email:

Following activation of your computer account, the Help Desk will assist you with the setup of your email. Meharry has chosen Microsoft Outlook as its email software because of its integration with other Microsoft Office products used on campus.

If you are unfamiliar with using Microsoft Outlook, please call the Help Desk at extension HELP (4357).

It is important that you periodically clean out you Outlook account of old emails, appointments, contacts, tasks and notes. Failing to clean out your account could prevent you from receiving important emails or other information transmitted through the email system.

If you need to store past emails or appointment, information is available from the OIT Web site that will assist you in setting up an Outlook archive in your network folder, or you can contact the OIT Help Desk for assistance at extension HELP ( 4357).

Email Address:

Following the setup of Microsoft Outlook to your computer account, the Help Desk will provide you with your email address used for all official Meharry business communications.

Web Based Email:

For your convenience, a web accessible email system is available to you 24/7. The system provides the user secured access to send and receive messages, check your calendar and address book from anywhere Internet access is available.

Internet and Intranet Access:

Internet:

The Meharry Internet address on the World Wide Web is http://www.mmc.edu. Here you will find information regarding the various schools, departments, news and campus activities. We encourage you to take the opportunity to review the information available on the Meharry Web site.

Intranet:

The Meharry Intranet is a secured Web site available to all Meharry employees. Because of security, access is mainly restricted to on campus access. After logging onto the Meharry computer network, the Intranet can be accessed by going to the Meharry home page located at http://www.mmc.edu and clicking the Employees link located at the bottom of the page.

Among the information available on the Intranet, you will find access to an employee directory with search capability and the primary forms used by most departments, such as Leave of Absence and Purchase Requests.

Banner\WebFOCUS Portal Site:

Banner:

SunGuard/SCT Banner, the college administrative software application includes the following modules Self-service, Finance, Human Resources, Student (including Registrar and Admissions) and Financial Aid.

WebFOCUS:

WebFOCUS is fully integrated Web based software that will provide Banner standard and self-service reports to ad-hoc queries, allowing departments to generate their own reports when needed.

Accessing the Portal Site:

For on-campus login to the Banner and WebFOCUS systems, or to find training or other information regarding these applications, type the word "Banner" in the address bar of the web browser and press the Enter key. You do not have to enter http://www to access the portal site on campus.

Off campus, you can log into banner by simply opening http://www.mmc.edu and clicking on the word "Banner" located at the bottom of the web page.

Meharry Network and Network Folders

Locating your H, O, P Folders:

There are three primary folder designations on the Meharry Network:


    1. Home (Personal) – designated by an (H)
    2. Department – designated by an (O)
    3. Public – designated by an (P)

To open your H, O or P folders:

    1. Open My Computer by double-clicking on the My Computer icon on the Windows Desktop.

    2. Select the H, O, or P folder and double-click it to open it. (“H” drive is your personal folder that only you can view. “O” drive is your departments Folder where files are shared with in your department. The “P” folder is a public folder where files are viewed and shared across campus.)

Locating Other Department Network Folders

    1. Locate the My Network Places or Network Neighborhood icon on the Windows Desktop and double-click to open it.

    2. Select the Entire Network icon by double-clicking on it.

    3. Single-click the Entire Contents link.

    4. Double-click the Microsoft Windows Network icon.

    5. Locate the Meharry network icon and double-click to open it. You will now see all computers accessing the Meharry network.

    6. Locate the server Mmcserver1 and double-click on the icon. This will open a window to all department public folders.

    7. Double-click the folder you want to view.

Computer Files and System Backup

Each department has its own secure network location for the storing and retrieval of computer data files. Employees are encouraged NOT to save valuable data to portable media such as Floppy disks, Zip-disks, CD’s, thumb drives, etc., or to their assigned workstation hard drive.

Portable media should only be used to copy non-classified data for transport to work related meetings, conferences, etc. Copying and removal of confidential data from the Meharry campus may constitute a violation of the Meharry Computer Services Policy and applicable State and Federal HIPAA laws.

Files saved to the Meharry computer network are secure and backed up daily. In addition, as a part of the OIT Disaster Plan, a duplicate copy of all backup data is stored off campus.

Instructor-led and Computer Based Training

OIT offers all employees Instructor-led and Computer Based Training opportunities.

Instructor-led training programs focus on Meharry’s core software programs such as Blackboard, McKesson, SunGuard/SCT Banner, WebFOCUS, OnBase, Microsoft Office and Kronos Time Management System.

Meharry Alert

What is the Meharry Alert? Meharry Alert is a messaging system designed to enhance and improve communication so that all students, faculty and staff of Meharry Medical College can stay informed in the event of an emergency. Employees are encouraged to sign up so that if an emergency arises notifications can be received from anywhere.

Meharry has entered into an agreement with e2Campus to provide the service, which will allow students, faculty and staff to be notified via text message in the event of an emergency or campus closure. The message can also be sent to a designated e-mail address, PDA or pager.

The system will add another immediate mechanism to the existing methods that the college has in place to alert our community to an emergency situation. The system will be used only for emergencies. The Meharry Alert will not be used to distribute advertising or other unsolicited content. Please note that subscribers to the Meharry Alert will pay no fees for the service, other than any regular fees associated with text messaging services.

Emergency Preparedness Plan

Meharry Medical College is committed to assuring the safety and well being of its employees, students, patients, visitors, and the local community in order to support the teaching, research, and health care delivery infrastructures of the College. It is the policy of the College to provide an Environmental Health and Safety (EHS) system that complies with federal, state and local regulations.

The College-wide Environmental Health and Safety Committee (EHSC) was established to ensure the proper implementation of the EHS system. The committee is composed of representatives from every College Division. The Environmental Safety Officer (ESO) and Director of Public Safety and Security co-chair the committee and are responsible for the daily operations of the College’s safety and health programs.
